Data Import – New Experience

The Manual File Import workflow in Klir delivers an improved user experience with smarter validations, inline error fixing, and a streamlined retry process. This article outlines the new workflow, features, and configuration options that will help you reduce the number of errors and allow you to resolve errors before importing.

Manual File Imports Page

The Manual File Imports page serves as the hub for managing manually uploaded files. You can find this in Admin > Data Management > File Imports.

Key Features:

  • Search & Filters: By file name, type, status, date, or user.
  • Import History Table: Displays:
    • File name, Import type, Upload date
    • Records imported, Errors, Importer, and Status (Success, Action Required, Failed)

  • Column Management & Sorting:
    • Sort by type, date, records, errors, or status
    • Show/hide columns using a selector

  • Import/Export Options:
    • Start new imports via the Import button
    • Export history to Excel or CSV


 

Start a New Import

Click Import to begin. Users first select the Import Type.

Import Type Selection:

  • Grouped by categories: General, Permits, Sampling, Community
  • Each import type determines the required fields and applicable validations
  • All import types will follow the improved experience soon, in the event you select an import type that has not been updated, Klir will display a link to allow you to import via the previous experience.

For Improved Experience Types:

  • Description panel provides file prep guidance
  • Download templates:
    • Excel – includes field-level tooltips and dropdowns
    • CSV – flat template for simpler editing
  • Click Next to proceed

Upload File

Users upload their prepared file:

  • Drag-and-drop or Browse to upload
  • Supported formats: .xlsx and .csv
  • Upload triggers the Match Columns step automatically

Match Columns

Columns from the uploaded file are automatically matched as much as possible. Review the mappings to ensure accuracy. 

Features:

  • Automatic Matching by column name
  • Manual Adjustments for unmatched/misplaced fields
  • Unmatched Columns clearly highlighted
  • Dropdowns show valid options (both hardcoded and environment-specific)
  • Value Validation:
    • Invalid values flagged
    • Option to correct values across multiple rows


Review Entries

Preview your data and resolve issues before completing the import.

Data Preview:

  • Table view of records as they'll be processed

Validation Results:

  • Errors (Red): Blocking issues (must be fixed)
  • Warnings (Yellow): Non-blocking, recommended review

Common Issues Detected:

  • Missing required fields
  • Invalid or duplicate IDs
  • Incorrect date formats
  • Unrecognized dropdown values

Correction Tools:

  • Inline editing
  • Valid-value dropdowns
  • Bulk update / find-and-replace
  • Export errors to Excel for offline correction

Navigation:

  • Filter to view: All, Errors only, or Warnings only
  • Pagination for large datasets

Click Next to proceed once ready.

 Users can proceed with unresolved errors. These will be flagged in post-import reports and can be fixed later.

 

 

Complete Import

Final step to complete the import.

  • Click Complete Import to finalize
  • Status updates to In Progress in the history table

Possible Statuses:

  • Success: All records imported
  • Action Required: Some errors are present; you can work through them directly for re-import
  • Failed: Critical error prevented import

Notifications & Import Profile Page

Email Notifications:

  • Sent to the user who initiated the import
  • Includes a summary of import status and details



Import Profile Page:

Accessible via the history table.

Includes:

  • File metadata and status history
  • Data preview and error list
  • Inline correction capabilities
  • Option to re-import the same file
  • Download link for the original uploaded file


Retrying Imports

Imports flagged with errors can be corrected and re-imported multiple times until successful.

All changes and statuses are tracked, ensuring complete visibility into the import lifecycle.
